Primary Transactions vs. Secondary Transactions
Primary transactions are defined in the GL
Account Inspector - Open Items - General view. The trigger is the sign
of the amount field for the applicable GL Control Account. When the
decision was made as to how to define which is the Primary transaction, the Configurator considered the business
cycle i.e. in Accounts Receivable, a payment is usually preceded by an invoice,
which makes the invoice the Primary transaction. All other transactions
that relate to the invoice (e.g. Credit Notes, Payments received, Journal Entries)
are referred to as Secondary transactions.
The Open Item window is displayed:
- upon selecting Tools - Open items... menu item (disabled unless the currently
active Transaction record has a GL Account that is flagged (in Accounts
- Chart) as subject to Open item analysis); or
- automatically in response to entering a Secondary transaction to an account
that has been flagged to Generate matching transactions by the Hand-picked method.

** When the default option (Show open groups
only)
is active, Match groups which are locked (Total amount = 0.00)
will not be displayed - unless they achieved zero balance status through a
split payment distribution (a payment is applied against several open items)
and not
all of those open items achieved zero balance.
Applying a Secondary Transaction
When the Open Items window is displayed in response to entering a secondary Hand-picked transaction,
the transaction amount will be shown in the Amount field of the New
item section.
- Applying the amount to a single group
click on the desired group line in the Field area or type the match field
value into the Match field. Click on the OK button.
- Applying the amount to multiple groups
replace the suggested amount, in the Amount field, with the amount
to be applied (remember to use the proper sign: +/-). Select or type the
Match field.
Click on the OK button. The Amount field will now show the balance
remaining to be applied. Repeat the process until the full transaction amount
is allocated.
Editing Open Items
When the Open Items window is open, transaction groups (both open and
closed (lock icon)) can be edited by moving group components between transaction
groups, in whole or in part.
Moving a transaction from one group to another
- click on the source group to display its component transactions in the Open
items browser;
- drag the desired transaction to the file folder of the destination group
- when the animated file folder "opens up", release the mouse.
Moving a partial transaction from one group to another
- click on the source group to display its component transactions in the Open
items browser;
- hold down the Alternate key, and drag the desired transaction to the file
folder of the destination group - when the file folder "opens up",
release the mouse (the cursor image is changed to a scissor icon):
this will display the amount allocation window:

the editable field will display the amount of the selected transaction,
replace it with the partial amount to be allocated and click on the OK button;

repeat the process for another partial allocation, if desirable;

the residual transaction amount in the source group and the
partial transaction amount in the destination group will display the scissor
icon button (clicking on this button will display the Split Open Items window
and show all the transaction groups which contain components of the split
transaction - the transaction number itself is displayed at the bottom left
of the window).
