The Miscellaneous view has three areas:

the Subledgers scrollable area (contains a single radio button "None" (the default) until the user defines Subledgers, at which time this scrollable area is expanded automatically to include each Subledger defined) see Establishing Subledger Control Accounts below;

• the Lock Status (Open is the default; Locked  locks GL Accounts, usually with historical data, from accepting any further transactions e.g. a previously active Bank account has been closed - you can't delete the account because of prior data; however, you can prevent accidental usage from force of habit);
  
  
• Allocated Transactions (this feature allows the allocation of transactions over a certain period of time e.g. Prepaid Insurance over the actual term of the policy). Options include:
  
  
  • Permitted, past and future (as it relates to the Accounting Period of the transaction) e.g. automatic allocation of Business Taxes invoiced sometime into the calendar year but applicable to the entire calendar year, hence allocate past and future;
  • Permitted, future only (as it relates to the Accounting Period of the transaction) e.g. automatic allocation of Prepaid Insurance over the (future) term of the policy or amortization of assets over their useful life period;
  • Not permitted (the default)

Establishing Subledger Control Accounts
Each and every GL Account can be analysed by Subledgers, making the GL Account a Subledger Control Account. Each GL Control Account can have a different subledger format, unique for a given purpose e.g. Accounts Receivable, Accounts Payable, or any other analytical function.

Take Note
Subledgers can't be attached to GL Accounts (conversion to Subledger Control Account status) until Subledger Templates have been created (with Architecture > Subledger Templates) which are then listed as part of the inventory of Subledgers in the GL Inspector's Miscellaneous view.

To Update, Edit, Or Inspect Subledgers
Once a GL Account has been converted into a Subledger Control Account, the General Data Entry applicable to a specific Subledger Control Account can also be accessed from within the Account Chart function:

• press the Subledger button of the desired Subledger Control Account;
  
  
• the appropriate Data Entry window is displayed for the specified account (if more than one template was defined as a result of cloning, the Select Subledger window panel will be displayed requiring a selection to be made);
  
  
• the Record Inspector menu item is enabled, if the Subledger Control Account is designated for Open Item analysis;
  
  
• carry out the update, edit, or inspect operations in the normal manner.

  Take Note
  Other access methods are a part of

  • Accounting Data Entry (e.g. Tools - Subledger Editor, when a Subledger transaction is in the input window);
  • General Data Entry (the primary access method).
